Job Purpose
The primary objective of this position is to manage the school's reception area and provide administrative support to the Office of Philanthropy & Community Engagement (PCE). As a key member of the PCE team, the Community Services Officer aims to engage Aiglon students, alumni, parents, and friends to build lasting, mutually beneficial relationships that promote volunteer participation, goodwill, and philanthropic support.
Key Responsibilities
The duties of the Administrative Officer encompass a wide range of tasks, which fall into three main categories:
1. Front Office Support
- Serve as the central point of contact for the school and the PCE Office, delivering exceptional service through email, phone, and in-person interactions.
- Manage the school’s incoming and outgoing post and package deliveries.
- Greet, welcome, direct, and announce visitors at the front desk.
- Conduct campus tours for visiting alumni and facilitate meetings with parents, faculty, and staff.
- Provide operational support for various school systems.
2. Administrative Tasks
- Provide high-quality professional coordination of administrative tasks for both the school and the Philanthropy & Community Engagement Office.
- Coordinate with the finance office to ensure postal and customs charges are accurately billed to relevant departments and private student accounts.
- Forward mail and update school databases as necessary.
- Prepare school-wide mailings and complete various administrative tasks.
3. Operational Support
- Manage several functional aspects of the school’s operational needs, including the minibus reservation system, ski pass forecasting, ordering and distribution for students and select staff, and handling confidential exam papers.
Other Responsibilities
- Contribute to special projects as directed by the Director of Philanthropy & Community Engagement.
- Undertake additional duties that align with the key responsibilities outlined above, as necessary.
- Commit to ongoing professional development.
- Participate actively in the life of the school and its activities.
- Uphold the ethos and values of Aiglon, acting with integrity and ensuring that all school-related matters are handled with the utmost confidentiality.
Person Specification
The qualifications, experiences, and attributes required for this position include:
A. Education, Qualifications, and Languages
- Essential:
- Fluent in English.
- Hospitality school student or at least 3 years of experience in a similar role.
- Desirable: Other languages.
B. Experience and Knowledge
- Essential:
- Fluent verbal and proficient written English.
- Working knowledge of French.
- Familiarity with Google Suite.
- Strong computer skills with the ability to learn new technologies.
- Desirable: Hospitality training.
C. Personal Qualities, Attitudes, and Behaviours
- Essential:
- Excellent interpersonal skills, including a professional phone manner and personal presentation.
- Aptitude for building professional relationships with students while adhering to Aiglon’s safeguarding policies.
- Willingness to familiarize oneself with school databases as necessary.
