Job Purpose

The Community Services Officer is an integral member of the Philanthropy & Community Engagement (PCE) team at Aiglon. This role is essential in managing the School’s reception area and providing administrative support to the PCE Office. The team's mission is to engage and foster lasting relationships with Aiglon students, alumni, parents, and friends, thus promoting volunteer involvement, goodwill, and philanthropic support.

Key Responsibilities

The responsibilities of the Administrative Officer fall into three main categories:

  • Front Office Support:

    The Administrative Officer serves as the primary point of contact for the school and the PCE Office, delivering exceptional service via email, phone, and in person. Responsibilities include managing incoming and outgoing mail, warmly welcoming visitors, providing campus tours for alumni, and facilitating meetings with parents, faculty, and staff, along with offering operational support for various school systems.

  • Administrative Tasks:

    This role involves high-quality professional coordination of administrative tasks for the school and PCE Office. Key duties include coordinating with the finance department regarding postal and customs charges, updating school databases, preparing mailings, and performing various other administrative tasks.

  • Operational:

    The Administrative Officer will manage key operational aspects, including the minibus reservation system, ski pass forecasting, and the ordering and distribution of materials for students and staff, as well as processing confidential exam papers.

Other Responsibilities

  • Contribute to special projects as directed by the Director of Philanthropy & Community Engagement.
  • Undertake additional duties broadly aligned with key responsibilities, as required.
  • Commit to ongoing professional development.
  • Engage actively in the life of the school and its activities.
  • Uphold the values and ethos of Aiglon, acting with integrity and maintaining confidentiality in all school-related matters.

Person Specification

The qualifications, experience, and attributes of the ideal candidate must align with the following specifications:

A. Education, Qualifications, and Languages

  • Essential:
    • Fluent in English.
    • Hospitality School Student or at least 3 years of experience in a similar role.
  • Desirable:
    • Proficiency in another language.

B. Experience and Knowledge

  • Essential:
    • Fluent verbal and proficient written English.
    • Basic knowledge of French.
    • Familiarity with Google Suite.
    • Strong computer skills with aptitude for mastering new technologies.
  • Desirable:
    • Hospitality training.

C. Personal Qualities, Attitudes, and Behaviours

  • Essential:
    • Exceptional interpersonal skills, with a polished phone manner and professional presentation.
    • Ability to cultivate professional relationships within the boundaries of Aiglon’s safeguarding policies.
    • Willingness to learn school database systems as necessary.
