Role Overview

In this role, you will be responsible for order processing within the Spare Parts Department of our Service Division, located in Baden, Switzerland. You will ensure efficient order fulfillment and report directly to the Head of Order Fulfillment & Project Management.

Your Responsibilities

  • Provide support to our international service center, communicating effectively in both English and German (ideally also in other languages; fluency in German is a must).
  • Process technical and commercial orders in our IT processing system (SAP).
  • Prepare and follow up on quotations.
  • Manage e-business transactions, including purchase orders, order confirmations, and invoices.
  • Coordinate with logistics and workshops to ensure timely delivery of materials.
  • Generate export and transit documents in our electronic customs processing system (SAP GTS).
  • Provide shipping documents and assign transport orders to freight forwarders.
  • Invoice shipments and create credit or debit notes.
  • Monitor accounts receivable and assist accounting with dunning processes.
  • Handle letters of credit in collaboration with the finance department.
  • Address customer complaints and manage claims with freight forwarders related to transport damage, loss of shipments, and delays.
  • Organize and oversee return shipments.
  • Conduct independent process controlling by monitoring inventory, invoicing deliveries, and managing accounts receivable and return processing times.
  • Ensure continuous process improvement initiatives.
  • Participate in on-call duty approximately six times a year, each for one week, with 24/7 availability.

Your Background

  • Commercial or technical apprenticeship complemented by additional training in a commercial field.
  • Several years of professional experience, with a keen interest in technology—especially turbochargers.
  • Fluency in English and German.
  • Proficient in SAP (SD-Module) and MS Office.
  • Excellent planning and organizational skills with a strong sense of responsibility and commitment.
  • Strong communication skills and a customer-oriented mindset.
  • Flexible, team-oriented, and willing to perform emergency service according to the operational schedule.
