Job Title: Community Services Officer

Responsible to:

Director of Philanthropy & Community Engagement

Job Purpose

The Community Services Officer will manage the School’s reception area and provide vital administrative support to the Office of Philanthropy & Community Engagement (PCE). As a key member of the PCE team, you will engage with Aiglon students, alumni, parents, and friends to foster lasting, mutually beneficial relationships that promote volunteer engagement, goodwill, and philanthropic support.

Key Responsibilities

  • Front Office Support: Serve as the primary point of contact for the school and the PCE Office, delivering exceptional service through email, phone, and in-person interactions. Manage all incoming and outgoing correspondence, welcome visitors, provide campus tours for alumni, facilitate meetings with parents, faculty, and staff, and ensure smooth operational support for various school systems.
  • Administrative Tasks: Coordinate administrative activities for the school and the PCE Office, including liaising with the finance office to ensure accurate billing of postal and customs charges. Forward mail, update school databases, prepare mailings, and handle various other administrative duties as needed.
  • Operational Management: Oversee key operational functions such as the minibus reservation system, ski pass forecasting, ordering, and distribution for students and selected staff, along with processing confidential examination papers.

Additional Responsibilities

  • Contribute to special projects as directed by the Director of Philanthropy & Community Engagement.
  • Undertake additional duties as required, aligning with the key responsibilities outlined above.
  • Commit to ongoing professional development.
  • Engage actively in school life and activities.
  • Uphold the ethos and values of Aiglon, acting with integrity and ensuring confidentiality in all school-related matters.

Personal Specification

Education, Qualifications, and Languages

  • Essential: Fluent in English; Hospitality School Student or a minimum of 3 years in a similar role.
  • Desirable: Proficiency in additional languages.

Experience and Knowledge

  • Essential: Fluent verbal and proficient written English; working knowledge of French; experience with Google Suite; solid computer skills with a willingness to master new technologies.
  • Desirable: Formal hospitality training.
