The Role
We are seeking a detail-oriented and analytical Shipping Operations & Vetting Assistant to enhance our vessel vetting processes and shipping operations. This role is crucial in ensuring full regulatory compliance, maintaining strong data integrity, and providing high-quality operational analysis to inform business decisions.
Key Responsibilities
- Vessel Vetting: Lead and manage the vessel vetting process (approximately 500 cases annually), ensuring compliance with internal policies, technical standards, and regulatory requirements, including KYC and credit assessments for spot and time-chartered vessels. Continually enhance vetting procedures, controls, and reporting frameworks.
- Shipping Operations: Support shipping operations (spot and time charter fixtures) when required by the Team Leader, collaborating closely with internal stakeholders.
- Support to Fuel Cargo Operations: Provide administrative assistance to the fuel cargo operations team, including validation of port agent nominations for internal voyages and ensuring compliance with internal policies.
- Fleet Management: Maintain and update the fleet list regularly, ensuring accurate and timely weekly reporting to the freight desk, while securing consistency and integrity of fleet data in alignment with commercial and operational realities.
- Time Charter Control & Validation: Validate time charter (TC) entries in internal systems, confirming operational and financial data accuracy in accordance with contractual terms. Identify discrepancies and establish controls to enhance data quality.
- Documentation Management: Develop and sustain a centralized, structured repository of key time charter party (TCP) clauses to increase accessibility and support the shipping team effectively.
- Analytics & Reporting: Drive advanced analytics and reporting for the operations and freight teams, encompassing dry dock planning, vessel performance benchmarking, voyage analysis, and annual operational reviews. Design, produce, and present regular and ad hoc reports offering insights on fleet utilization, performance, operational risks, and cost optimization opportunities.
- Cross-functional Coordination: Serve as a key liaison among operations, chartering, risk, and compliance teams. Offer guidance on operational and contractual matters, support strategic initiatives, and provide ad hoc assistance to the operations team as needed.
Your Profile
- 1-3 years of experience in a similar role or within an audit background
- High level of accuracy and attention to detail
- Strong adherence to processes and controls
- Ability to analyze and interpret complex data sets
- Advanced Excel and/or Tableau skills
- Experience working with large data volumes
- Fluent in English
