Role Description

The Reception & Office Administrator will ensure that the Front Office is managed smoothly and friendly, providing full satisfaction to our international visitors, guests, and partners. This role involves managing all public areas and supporting the Executive Management with administrative duties in alignment with Viking Cruises standards. The Reception & Office Administrator will collaborate closely with another colleague and report directly to the Senior Manager of Human Resources.

Key Responsibilities

  • Supervise the entire front office area.
  • Greet and welcome international visitors, guests, candidates, and partners at the front desk, directing them to the appropriate person.
  • Answer, screen, and forward incoming phone calls.
  • Receive, sort, and forward daily incoming mail; prepare outgoing mail daily.
  • Order office supplies and maintain inventory for the entire office.
  • Organize meeting rooms.
  • Support with food and beverage orders and meal setups for meetings.
  • Manage deliveries and coordination with external service providers.
  • Provide administrative support for the HR Department.
  • Perform various clerical duties such as filing, photocopying, and transcribing for Executive Management.
  • Ensure public areas, including kitchens, are clean and well-maintained.
  • Order and organize F&B and non-food items for the break rooms.
  • Arrange travel and accommodation with preferred partners (flights, rental car, train, hotel bookings).

Key Qualifications

  • Minimum of 2 years professional experience in a similar position.
  • International experience or experience on a ship is an asset.
  • Fluency in English and German (written and verbal).
  • Proficient in MS Office and experienced in administrative tasks.
  • Ability to work independently, with a service-oriented and guest-focused approach.
  • Excellent organizational and communication skills.
  • Positive personality, organized, well-groomed appearance, and a team player.

Education

  • Graduated education in the hotel/tourism industry preferred.

Nice to Have Qualifications

  • International experience or experience in tourism is an asset.
