NCCR Genesis
The Swiss federal government has approved six new National Centres of Competence in Research (NCCRs). These programmes will provide long-term strength to key strategic research areas in Switzerland. ETH Zurich heads three of the six approved NCCRs, including NCCR “Genesis,” which represents a significant opportunity for education, top-tier research, and knowledge transfer to industry and society.
NCCR Genesis investigates the origin of life as a gradual transition from inanimate matter to living organisms. The centre will be managed in close cooperation with the University of Lausanne (UNIL) and brings together over 100 scientists from various disciplines, bridging the gaps between biology, chemistry, astrophysics, and Earth and planetary sciences.
Job Opportunity: Personal Assistant to the NCCR Director
To strengthen our small project team, we are establishing the role of Personal Assistant to the NCCR Director (Professor Didier Queloz) with additional responsibilities in NCCR HR & Equal Opportunity activities.
This dual-role position will allow you to play a key part in supporting Professor Queloz while also contributing to NCCR HR and Equal Opportunity initiatives and serving as the secretary of the relevant committee.
Duties and Responsibilities
As a Personal Assistant to Professor Queloz (60%):
- Plan, coordinate, and prioritize your supervisor's calendar, including travel arrangements.
- Support senior members of the group or assistant professors in administrative matters related to Professor Queloz.
- Maintain close communication with key personnel managing NCCR Genesis operations at ETH Zurich.
- Take meeting minutes and monitor the implementation of decisions and tasks.
- Coordinate internal communications, announcements, and website updates within Professor Queloz’s group.
- Manage all HR-related processes for the research group, including the smooth onboarding of new members and serving as the secretary for the Equal Opportunity Committee.
- Act as the first point of contact for Professor Queloz’s research group, coordinating with internal and external stakeholders as well as visitor programs.
- Handle administrative tasks such as mail processing, document management, and process support.
- Efficiently process ad-hoc tasks arising from daily operations.
- Organize the group’s annual science conference, welcome and networking events, as well as lunch seminars.
As part of NCCR HR & Equal Opportunity (20-40%):
- Serve as a contact point for HR policy and equal opportunity inquiries within the NCCR and act as the secretariat for the Equal Opportunity Committee.
- Monitor personnel appointments funded by the NCCR.
- Ensure compliance with SNSF rules on employment eligibility, salary scales, and equality measures.
- Coordinate career development initiatives for early-career researchers (PhDs, Postdocs), including mentoring and training.
Qualifications
- A minimum of several years of experience in an executive-level assistant role in an academic environment or the service industry.
- Strong organizational skills with a proactive and structured approach.
- A professional demeanor combined with excellent service orientation and diplomatic skills in sensitive situations.
- Fluency in German, French, and English with exceptional communication skills.
- Confidence in dealing with diverse and demanding communication formats and stakeholder groups.
- Proficient in managing multiple tasks under time pressure while effectively setting priorities.
- Demonstrated flexibility, reliability, accuracy, and discretion in handling confidential information.
- A team player with a good sense of humor.
