POSITION OVERVIEW
As an Event Coordinator, you will manage and support event projects while cultivating long-term relationships with our clients. Your responsibilities will include responding to event inquiries, initiating and managing new projects, and identifying potential leads. You will be part of the operations team to ensure top-quality event service delivery to our clients while also managing the financial aspects of business travel, trade show participation, and customer events.
ABOUT THE EMPLOYER
Hotel Management International (est. 2005) is a venue finder and an international event agency based in Geneva, Switzerland, and Montreal, Canada. The primary service of the agency is worldwide venue and hotel sourcing for international conferences, corporate meetings, seminars, staff incentives, and annual parties. Working with both private and public sectors, HMI organizes around 200 annual events for 10 to 10,000 people on all continents.
RESPONSIBILITIES
- Project Management:
- Prepare and send Request for Proposals, comparing and presenting a variety of hotel options to clients.
- Ensure smooth communication with suppliers and partners throughout all stages of the project.
- Manage event logistics and coordinate with clients on their needs.
- Develop and manage budgets, controlling costs and expenses on behalf of clients.
- Review and proofread contracts, ensuring compliance with required clauses.
- Meet key deadlines, ensuring all projects are delivered promptly and professionally.
- Support clients with digital and hybrid event planning, adhering to strict deadlines and budget constraints.
- Initiate and oversee the tender process for new client requests.
- Maintain up-to-date records and detailed information in our CRM system.
EXPECTED QUALIFICATIONS
- A degree in Hospitality (preferably in Switzerland).
- 3 years of experience in an event agency or a corporate event department.
- Creativity and the ability to design conferences, events, and gala dinners.
- Experience organizing digital and hybrid events.
- Knowledge of the MICE industry.
- Exceptional follow-up and communication skills.
- Language skills: native English speaker, French at least C1, preferably some German skills.
- Proficient in Cvent, Salesforce, Bexio, Excel; event app setup skills are a plus.
