About the Role

We are looking for a highly organized, discreet, and proactive Executive Assistant (m/f/d) to support our Chairman during a key transitional period for a fixed-term duration. This interim role is perfect for an experienced professional who thrives in dynamic international environments and can provide seamless executive support from day one.

Key Responsibilities

  • Executive Support:
    • Manage and prioritize the Chairman’s calendar, appointments, and meetings.
    • Coordinate complex travel arrangements (flights, hotels, visas, itineraries).
    • Prepare documentation for meetings, presentations, and events.
    • Draft correspondence, reports, and meeting minutes.
    • Act as a gatekeeper and liaison for internal and external communications.
  • Administrative & Organizational Tasks:
    • Handle expense reports, budget tracking, and invoice processing.
    • Support personal arrangements (appointments, travel, events).
    • Assist with executive events, town halls, and offsites.
    • Coordinate with top management and global Executive Assistants.
    • Manage guest arrangements and office supplies.
  • Meeting & Communication Management:
    • Organize meetings, prepare agendas, and ensure follow-up actions.
    • Liaise with internal teams and external stakeholders.
    • Manage meeting room logistics and scheduling.

Your Profile

  • Minimum of 5–10 years of experience in a similar PA/EA role at C-level.
  • Strong interpersonal skills and cultural sensitivity.
  • Excellent organizational and time management abilities.
  • High level of discretion and professionalism.
  • Fluent in Japanese and English (German is a plus).
  • Proficient in MS Office tools.
  • Resilient, adaptable, and service-oriented.
