Summary

We are a dedicated team united by our mission to deliver significant value to Novartis. In this pivotal role, you will lead preparations for the Annual General Meeting (AGM) and oversee strategic projects within the Corporate Secretary Department. This function serves as the crucial interface between Board members and senior management at Novartis, allowing you to engage directly with Board and Executive Committee members, as well as other senior leaders. Your contributions will be essential in planning, structuring, and preparing for Board and Committee meetings, ensuring their logistical implementation runs smoothly.

About the Role

Key Responsibilities:

  • Collaborate closely with the Leadership Team of the Corporate Secretary to lead and implement strategic initiatives, special projects, and assignments.
  • Manage the budget process for all six teams; responsible for budget control and oversee the budget of the Board Office, driving process improvements to enhance efficiency.
  • Coordinate the preparations for the AGM of Novartis AG in collaboration with internal and external stakeholders, acting as deputy for the Head of Share Registry.
  • Serve as the primary contact for Board members along with your direct reports, responding to ad-hoc requests and managing urgent matters to ensure business continuity.
  • Lead the organization of Board and Committee Meetings, managing all logistics (travel, accommodations, etc.) while ensuring flawless execution in collaboration with key stakeholders.

Essential Criteria:

  • University degree or diploma in a relevant discipline.
  • Proven experience in a similar role, showcasing operational expertise combined with strong project management and analytical skills.
  • Experience in a matrix organization, with the ability to navigate complex structures and build lasting relationships with internal and external stakeholders.
  • Exceptional interpersonal and communication skills, complemented by a strong executive presence.
  • Proven leadership abilities in building, developing, and inspiring a team.
  • Fluency in English, both written and spoken.

Desirable Criteria:

  • Experience in consulting.
