THE POSITION
The HR Services Specialist provides crucial administrative personnel support to employees, managers, and HR Business Partners at Celonic AG throughout the entire employee lifecycle—from hiring to offboarding. This role encompasses processing employee data and contract changes, managing time tracking and absences, addressing employee inquiries, and maintaining HR databases. The HR Services Specialist also plays a pivotal role in supporting the implementation of HR policies and process improvements, ensuring adherence to Swiss labor law and internal regulations.
YOUR RESPONSIBILITIES:
- Provide administrative HR support to employees, managers, and HR Business Partners throughout the employee lifecycle from hiring to offboarding.
- Process changes in employee information, contracts, agreements, and terminations in a timely and compliant manner.
- Address employee inquiries related to HR services and administration.
- Offer guidance on labor law, tax, and social security matters.
- Support HR Business Partners and managers with case management for situations such as long-term sickness or special personal scenarios, by providing accurate information and analysis.
- Manage time tracking and absence records within our HR systems.
- Administer and report on employee absences and accidents in collaboration with external partners and Payroll.
- Maintain HR databases to ensure accurate and timely reporting to Finance, Management, and external authorities.
- Assist with the implementation of HR policies and process improvements while ensuring compliance with internal policies, legal regulations, and industry best practices.
JOB REQUIREMENTS:
- Relevant experience as a Personal Assistant, HR Specialist, Bachelor in HR, or in a similar role.
- 3+ years of experience in HR Services or related positions.
- Advanced proficiency in MS Office.
- Sound understanding of Swiss Labor Law.
- Excellent communication skills, both written and verbal.
- Strong customer service orientation with a solution-driven mindset.
- Exceptional administrative and documentation skills with a high level of accuracy.
- Meticulous attention to detail and the ability to manage multiple tasks efficiently.
- Strong problem-solving skills and sound judgment.
- Independent and proactive work approach with a high level of reliability.
- Fluent in German and proficient in English; additional languages are a plus.
