THE POSITION

The HR Services Lead, in collaboration with the HR Services Specialist, provides essential administrative personnel support to employees, managers, and HR Business Partners at Celonic AG throughout the entire employee lifecycle, from hiring through to offboarding. This role involves processing employee data and contract changes, managing time tracking and absences, addressing employee inquiries, and maintaining HR databases. The HR Services Lead also plays a critical role in supporting HR policy implementation and process improvements, ensuring compliance with Swiss labor law and internal regulations.

YOUR RESPONSIBILITIES

  • Lead the HR Services function to provide support throughout the employee lifecycle, from hiring to offboarding.
  • Process changes in employee information, contracts, agreements, and terminations in a timely and compliant manner.
  • Address employee inquiries related to HR services and administration.
  • Provide guidance on labor law, tax, and social security matters.
  • Manage time tracking and absence records in our HR systems.
  • Support HR Business Partners and managers with case management (e.g., long-term sickness or special personal situations) by delivering accurate information and analysis.
  • Handle the administration and reporting of employee absences and accidents in collaboration with external partners and Payroll.
  • Maintain HR databases to ensure accurate and timely reporting to Finance, Management, and external authorities.
  • Support HR policy implementation and process improvements while ensuring compliance with internal policies, legal regulations, and industry best practices.
  • Oversee 1 direct report.

JOB REQUIREMENTS

  • Personal Assistant, HR Specialist, or similar qualification.
  • 8+ years of experience in HR Services or related roles.
  • Advanced proficiency in MS Office.
  • Excellent understanding of Swiss Labor Law.
  • Outstanding communication skills, both written and verbal.
  • Strong customer service orientation with a solution-driven mindset.
  • Exceptional administrative and documentation skills with a high level of accuracy.
  • Meticulous attention to detail and ability to manage multiple tasks efficiently.
  • Strong problem-solving skills and sound judgment.
  • Independent and proactive work approach with a high level of reliability.
  • Fluency in German, with a good level of English; additional languages are advantageous.
