Summary

Location: Basel, Switzerland.

We are seeking a highly skilled professional to manage complex intellectual property (IP) administrative, filing, and legal support tasks with independence and timeliness. Join our high-performing team dedicated to providing a diverse range of complex IP administrative support for patent practitioners across regional, international, and foreign filings.

The successful candidate will maintain and manage an intricate and accurate docket using a patent docketing system. You will possess expert knowledge and a thorough understanding of IP law and practice issues. We are looking for someone to undertake operational and strategic responsibilities to enhance the effectiveness of paralegal support at both local and global levels.

Your contributions will include applying, maintaining, and improving departmental best practices, along with training others in all aspects of European Patents (EP) and foreign patent matters. Additionally, you will lead teams within the Patent Support division to improve efficiency and current processes.

About the Role

Your responsibilities will include, but are not limited to:

  • Filing EP/international and foreign patent applications and managing related correspondence from filing to issuance of grant.
  • Managing EP and international patent filings, including nationalizations into foreign jurisdictions.
  • Preparing all necessary documents for EP, Patent Cooperation Treaty (PCT), and foreign applications; proactively initiating preparations for responses to official communications.
  • Keeping updated on the latest patent rules and adapting practices accordingly.
  • Monitoring and updating electronic dockets for assigned attorneys and paralegal tasks daily.
  • Ensuring deadlines for all assigned cases are met proactively and in a timely manner.
  • Conducting independent reviews and assisting attorneys with their dockets and workloads.
  • Coordinating outsourcing, transfers of patent files, and responsibilities efficiently to minimize the risk of losing rights.
  • Maintaining effective communication with colleagues, inventors, foreign agents, and associates.
  • Participating actively in patent group and cross-divisional meetings as required.
  • Providing flexible support in other areas within the Patent Support team as needed (e.g., annuities, invoicing, data input).
  • Leading projects addressing global prosecution and operational challenges within the department.
  • Developing procedures and processes to enhance team efficiency.
  • Conducting necessary meetings and recommending areas for improved efficiency in procedures.

What You'll Bring to the Role:

  • Relevant degree, such as Law with Paralegal or equivalent IP certification, or equivalent experience.
  • Fluency in English, both spoken and written; additional languages are an asset.
  • Professional experience as a patent paralegal in law firms or corporations with experience in international and foreign filings.
  • Able to thrive in a highly complex environment while managing workload and maintaining high-quality work.
  • Advanced knowledge of patent databases and proficient in report-generating tools.
  • Ability to meet deadlines independently in an electronic office environment.
  • Strong research, critical thinking, and sound decision-making abilities, with attention to detail for consistently accurate work.
  • Excellent analytical, organizational, and communication skills.
  • Ability to liaise with cross-divisional groups to prevent duplicated efforts and ensure effective knowledge sharing.
  • Demonstrated leadership qualities, capable of mentoring and developing other paralegals' technical competencies.
  • Passion to advocate for the Patent Support team within an NIBR site.
