Role Overview
In this role, you will be responsible for order processing in the Spare Parts Department within our Service Division based in Baden, Switzerland. You will ensure smooth order fulfillment and report directly to the Head of Order Fulfillment & Project Management.
Your Responsibilities Include:
- Providing international service center support, including oral and written communication in English and German (additional foreign languages are a plus).
- Handling technical and commercial order processing in the IT system (SAP).
- Preparing and following up on quotations.
- Processing e-business transactions, including purchase orders, order confirmations, and invoices.
- Coordinating with logistics and workshops regarding the delivery of materials.
- Creating export and transit documents in the electronic customs processing system (SAP GTS).
- Providing shipping documents and assigning transport orders to freight forwarders.
- Invoicing shipments and creating credit/debit notes.
- Monitoring accounts receivable and aiding accounting in dunning processes.
- Managing letters of credit in collaboration with the finance department.
- Handling customer complaints, freight forwarder claims, and insurance cases (e.g., transport damage, shipment loss, delays).
- Organizing and monitoring return shipments.
- Independently controlling processes such as monitoring packing hall inventory, invoicing deliveries, managing missing parts, accounts receivable, and return processing times.
- Ensuring continuous process improvement.
- Participating in on-call duty approximately 6 times per year, for one week each time, with 24/7 availability.
Your Background
- Commercial or technical apprenticeship with additional training in a commercial field.
- Several years of professional experience.
- Interest in technology, particularly turbochargers.
- Fluency in English and German.
- Good knowledge of SAP (SD-Module) and MS Office.
- Excellent planning and organizational skills.
- A strong sense of responsibility and commitment.
- Excellent communication skills and customer orientation.
- Flexibility and ability to work in a team.
- Willingness to perform emergency service according to the operation schedule.
