The Role
As our Receptionist, you will serve as the first point of contact for visitors, partners, and callers. Your role is vital in ensuring the reception area operates smoothly, supporting daily office coordination, and assisting the team in staying organized. This position is perfect for someone who is warm, dependable, and adept at handling a variety of tasks in a fast-paced environment.
Key Responsibilities
- Welcome visitors in a professional and friendly manner.
- Answer, screen, and route phone calls and general inquiries.
- Coordinate meeting room bookings and manage meeting logistics.
- Manage calendars and agendas, providing scheduling support when necessary.
- Receive, sort, and distribute mail and deliveries.
- Maintain reception and common areas, ensuring they are tidy, presentable, and organized.
- Track and maintain office supplies, placing orders as needed.
- Create and update documents in Microsoft Word (letters, forms, simple templates).
- Accurately enter, update, and track information within CRM systems.
- Assist with general administrative tasks, including filing, scanning, data entry, and document handling.
- Handle confidential information with discretion.
- Support the team with additional tasks as required.
What We’re Looking For
- Previous experience in a receptionist, front desk, administrative, or customer-facing role (startup experience is a plus).
- Strong working knowledge of Microsoft Word and standard office tools.
- Comfortable with CRM systems (or quick to learn), exhibiting strong attention to detail in data entry.
- Clear communication skills coupled with a calm, helpful attitude.
- Excellent organizational abilities, follow-through, and time management skills.
- Reliable and punctual, capable of managing multiple tasks without compromising quality.
- Fluency in both written and spoken French and English.
