Main Missions

1. Coordination of the Oktave Project Portfolio (Approx. 50%)

- Overall monitoring of all ongoing projects within a centralized portfolio.
- Anticipation of deadlines, reminders, and follow-ups with consultants.
- Active support for production including:

  • Content research (iconography, animations, specific references)
  • Creation or adaptation of materials (PowerPoint presentations, Rise e-learning modules, etc.)
  • Proofreading, formatting, and quality checks
  • Coordination of translations and multilingual deliverables
  • Implementation of quality control (evaluations, QR codes, reporting)

2. Management of Dedicated Client Projects (Approx. 25%)

- Operational management of strategic client projects.
- Coordination of sessions: scheduling, calendar, logistics.
- Direct link with clients: regular communication, specific requests, approvals.
- Support for consultants in the preparation and deployment of deliverables.
- Management of animation materials (print and digital): tracking translations, printing, and possible shipping.

3. Direct Support for the CEO – Commercial, CRM & Marketing (Approx. 25%)

- Close collaboration with the CEO on commercial and strategic priorities.
- In-person workdays in Geneva for direct coordination.
- Operational support for commercial actions including:

  • Preparation of commercial proposals and prospecting documents
  • Follow-up on client communications after meetings
  • Organization and updating of presentation materials
  • Coordination of responses to tenders or client briefings
  • Management and updating of the client CRM:
    • Updating client contacts (3 times/year: September, January, May)
    • Enriching the database according to commercial development priorities
    • Researching and adding new leads based on identified targets
  • Occasional support in marketing & communication:
    • Support for visibility actions (newsletters, client events, digital content)
    • Monitoring communication tools and best practices in B2B

Desired Profile

  • Excellent coordination and project management skills
  • Strong sense of priorities, anticipation ability, and meticulous execution
  • Good interpersonal skills and smooth communication with various stakeholders
  • Proficiency in office and digital tools (Excel, PowerPoint, collaborative tools, CRM, e-learning, etc.)
  • Strong appetite for business development and marketing structuring
  • Autonomy, reliability, and initiative in an entrepreneurial environment
  • Perfect command of French and English, both spoken and written
  • Knowledge of other languages is a plus (German, Italian, Russian, Chinese, etc.)
