Your Role:

Permanent role | Full time or part-time 80% | to start immediately

As the People Operations Coordinator, you will play a pivotal role in managing our global HR functions and administrative tasks within our dynamic international environment. You will report directly to the CFO and CEO, ensuring the seamless operation of our team across all countries in which we operate.

Your responsibilities will encompass:

  • Developing a culture of performance and growth.
  • Managing the recruitment process and employee onboarding.
  • Administering payroll and supporting overall administration of the Swiss HQ office.
  • Ensuring compliance and people administration across entities from Austria to China and London to Denver, which make up Full Stack Supply Co.

Responsibilities:

HR:

  • Support hiring managers in the recruitment process.
  • Facilitate employee onboarding and orientation for new hires.
  • Maintain accurate employee records and databases, ensuring compliance with company policies and local laws.
  • Assist with payroll processing and related tasks.
  • Administer the Time-Off Management System.
  • Manage all company-wide systems (Google Suite, Microsoft, Zoom, Slack, Adobe, etc.).
  • Lead the performance review process.
  • Assist Senior Management in OKR development and implementation on a global, functional, and individual level.
  • Support HR initiatives, including employee engagement programs and training sessions.
  • Prepare HR-related reports and documents as needed.
  • Perform general administrative tasks, such as managing HR correspondence and organizing files.

Administration:

  • Provide office management for the Swiss HQ office, considering operational and team culture aspects.
  • Handle postal correspondence and support with ad hoc claims or time-sensitive communications.
  • Manage company insurance in collaboration with relevant stakeholders (business liability, vehicles, social insurance, etc.).
  • Oversee the vehicle fleet in collaboration with the Sales team.
  • Take ownership of all company assets (computers, screens, workstations, etc.).
  • Manage various administrative tasks for each of our offices.

Your Profile:

We’re seeking an organized, process-driven, and enthusiastic People Operations Coordinator to contribute to our vibrant workplace culture. You should possess strong communication skills and feel comfortable engaging with various stakeholders, both internally and externally.

Your attention to detail and discretion regarding confidential matters will be crucial as you manage sensitive employee information and ensure accuracy in documentation. A natural sense of curiosity will serve as one of your greatest assets, allowing you to enhance our HR processes and contribute to a positive workplace environment.

Requirements:

  • Fluency in French and English.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Basic knowledge of HR processes and best practices is preferred.
  • Knowledge of Swiss payroll is a strong advantage; an eagerness to learn is essential.
  • Proficiency in Microsoft Office Suite; familiarity with Google Suite.
  • A proactive approach to problem-solving and the ability to work independently.
  • Strong attention to detail and accuracy.
  • Flexibility to adapt to a fast-paced and evolving environment.
