Position: FIA Operations Excellence Lead
As the FIA Operations Excellence Lead, you will report to the Director of the General Manager’s Office. This key individual contributor role focuses on enhancing operational excellence by optimizing workflows, improving information flow, and ensuring coordination across the organization.
Based in Geneva within a dynamic and international environment, you will collaborate closely with the GM Office, PMO, Directors, and relevant FIA departments. This role combines project and change management, agile and process thinking, digital fluency, and executive coordination, contributing directly to better decision-making and consistent execution.
Mission and Responsibilities
- Operational Transformation & Process Mastery
- Map current operational workflows and ways of working across FIA collaborators to identify key areas for optimization.
- Drive the organizational journey toward operational excellence, managing the necessary behavioral and structural shifts in a large corporate environment.
- Act as a proactive source of proposals for organizational development, modern communication pathways, and scalable continuous improvement.
- Integrate structured frameworks like RACI matrices and efficiency principles into the organization’s daily practices.
- Agile, Digital, and AI-Enabled Coordination
- Utilize agile and iterative approaches, including scrum-inspired practices where applicable, to enhance coordination and visibility.
- Leverage digital tools, data, and AI solutions to facilitate information flow, action tracking, and executive coordination.
- Collaborate with digital functions to ensure tools support decision-making and collaboration without owning systems or platforms.
- Facilitation and Change Management
- Facilitate working sessions, workshops, and alignment meetings with Directors and stakeholders to transform complex challenges into actionable steps.
- Provide hands-on change management support to guide staff through new governance routines and communication channels.
- Promote collaboration and coordination across a distributed, multi-office organization.
- GM Office Coordination
- Oversee end-to-end coordination of management team-level meetings and executive forums.
- Shape meeting agendas in collaboration with the Director of the GM Office and content owners, ensuring meetings are purposeful and focused on decisions.
- Track decisions, actions, and follow-ups across forums; ensure clear ownership and visibility.
- Draft and consolidate concise meeting summaries, decision notes, executive briefings, and follow-up communications, ensuring clarity, accuracy, and consistency.
Profile
- A university degree in business administration, organizational development, management, or a related field (e.g., digital transformation or organizational effectiveness).
- 7–10+ years of experience, ideally beginning with top-tier strategic or management consulting followed by in-house transformation experience.
- Proven experience in Management Committee / Board / Executive Team level environments.
- Experience in process design, coordination models, workflow clarification, or operating rhythm design is a strong asset.
- Exposure to agile/Scrum approaches, change management, and digital/AI-enabled working methods is highly desirable.
- Strong technical skills and experience with digital workplace automation suites (such as Power Automate) and AI-enabled productivity workflows.
- Fluency in English is required; proficiency in French is strongly preferred, and Spanish would be an advantage.
- Desirable certifications include PMP (Project Management Professional) or equivalent; Change Management Practitioner; Lean Six Sigma (Green Belt or higher); and Agile roles (e.g., Scrum Master, Agile Leader).
