Office Manager – International Law Firm | Paris
Our client, a leading international law firm in Paris, is seeking an experienced Office Manager to join their team. This pivotal role entails overseeing the day-to-day operations of the Paris office while collaborating closely with local Partners and the HR Director based in London. You will manage the local support team, ensuring the seamless operation of all office functions within an international, multi-office context.
Key Responsibilities
- Team Management: Manage and coordinate the local support team, ensuring effective workload allocation, appropriate resourcing, and high standards of service.
- HR: Oversee local HR processes, including onboarding and departures, employment documentation, payroll and benefits coordination, leave and remote-working arrangements, performance matters, training, visas, and relocation.
- French Employment Law: Ensure local HR processes comply with French employment legislation, providing support on confidential employee relations matters in coordination with the central HR team.
- Office Operations: Act as the main point of contact for Paris office operations, covering HR, finance, administration, facilities, local regulatory requirements, and front-of-house services.
- Finance: Liaise with the global finance team on billing, time recording, outstanding invoices, expenses, and local financial processes.
- Facilities and Suppliers: Oversee premises, maintenance, security, suppliers, contractors, and office services.
- Office Development: Coordinate office moves, space planning, reconfigurations, and fit-out projects.
- Front of House and Events: Ensure that reception and meeting room services meet the firm's high standards, and coordinate client events.
- Projects and Compliance: Support operational projects, process improvements, and local regulatory and ISO compliance requirements.
Required Experience and Skills
- Proven office management experience within a professional services environment or partnership.
- Prior experience working in an international law firm, with a solid understanding of law firm processes and the demands of a partnership environment.
- Demonstrated experience managing a team, ideally legal support staff within a law firm.
- Strong knowledge of French employment law and local HR processes.
- Fluent in both French and English, with excellent written and spoken communication skills, enabling confident interaction with Partners, senior management, and colleagues across international offices.
- Exceptional organizational, communication, and interpersonal skills, with the ability to manage multiple priorities and engage effectively with stakeholders at all levels.
