Role Overview
As the Headquarter Office and Community Manager, you will serve as a central point of contact for employees, the Senior Leadership Team (SLT) assistants, and the broader community. Your role will ensure that the office environment is efficient, welcoming, and aligned with the company's values, while also building and maintaining connections with the surrounding community. The ideal candidate will be highly organized, proactive, and skilled at multitasking, with strong interpersonal and communication abilities.
Your Key Responsibilities
Your responsibilities include, but are not limited to:
Office Related:
Ensure the workspace is well-maintained, organized, and equipped on a daily basis.
Onboard new employees to ensure they feel welcomed and integrated into the office environment.
Assist employees and their guests in navigating on-site amenities.
Encourage productivity and interaction by showcasing the workspace.
Coordinate with vendors and service providers (e.g., IT support, office supplies, cleaning staff, catering) to maintain smooth operations.
Assist in managing the office budget, including expenses related to equipment, supplies, and services.
Implement and maintain office policies and procedures to ensure a productive, healthy, and safe working environment.
Board / Sandoz Leadership Team Related:
Support SLT assistants and the Board Office regarding conference and meeting services.
Manage the calendar of annual events.
Community Related:
Foster a positive and inclusive office culture by planning team-building activities, wellness initiatives, and company celebrations.
Collaborate with People & Organisation and Leadership to promote employee satisfaction and well-being within the office.
Assist with internal communications to keep staff informed about office updates, community events, and initiatives.
Manage benefit components and support employees with questions or concerns.
Coordinate diversity and inclusion activities and discussions.
What You’ll Bring to the Role
Essential Requirements:
Vocational training as Project and/or Event Manager.
Fluency in both German and English (oral and written).
Strong problem-solving skills and the ability to work independently.
Proactive, inclusive, and respectful communication style with a strong customer service focus.
Effective networking skills and the ability to collaborate cross-functionally.
Friendly, approachable, and a positive team player.
Adaptable and able to thrive in a dynamic, fast-paced environment.
Strong sense of responsibility and attention to detail.
Enthusiastic about fostering a collaborative and productive office culture.
Desirable Requirements:
Bachelor's degree in Events, Hospitality, or Facility Management is a plus.
Previous experience in a similar role would be advantageous.
