Office Assistant & Event Coordinator (m/f/d)
Location: Zug (80-100%)
Key Responsibilities
Office Related
- Administrative support to the General Manager/Commercial Director, including calendar management, travel coordination, and expense reporting.
- General office support for the EMEAI Headquarters in Zug, and selected support for the office in Schwalbach, Germany, including site stock and procurement management.
- Travel coordination and expense reporting using the Concur system.
- Ordering business cards for EMEAI and serving as the focal point for all credit card-related inquiries.
- Assisting in the implementation and monitoring of process improvements.
- Organizing group events.
- Generating Purchasing Requisitions and change requests within SAP for the offices in Zug and Schwalbach.
- Preparing documents for DocuSign, vendor coding, outline agreements, etc.
- Independently overseeing and executing small-scale projects aligned with leadership initiatives, ensuring timely completion.
- Training and First Aid coordinator for the Zug office.
- Independently prioritizing tasks and initiating actions, particularly in time-sensitive situations.
Event Related
- Preparing and executing events while supporting decision-making, including controlling the schedule, goals, tasks, and participant lists.
- Managing press releases and coordinating event promotion in print or social media in collaboration with the Communications team.
- Monitoring event budgets and identifying deviations in expenses compared to previous years or the planned budget. Coordinating with purchasing on vendor negotiations for events.
- On-site management during set-up and dismantling, serving as the focal point during the event.
- Organizing and facilitating follow-up meetings post-event, including reviews of events, their impact/outcomes, and taking meeting notes.
What We Expect
- Vocational degree required; Business Administration preferred.
- Fluent in German and very good English (written and spoken); additional languages are an asset.
- Experience working with various systems such as SAP, DocuSign, or similar.
- Advanced computer skills (MS Office, particularly Excel) along with the ability to learn new tools.
- Excellent time management skills with the ability to prioritize work effectively.
- High attention to detail and accuracy.
- Ability to work effectively within a global organization, across functions and cultures.
- Strong communication skills to interact with a diverse range of individuals, from senior leaders to colleagues and external stakeholders, while maintaining integrity and trustworthiness.
- A collaborative team player with an open-minded personality.
