Your Responsibilities

HR Training Organisation & Monitoring

Organize and coordinate onsite and international training sessions, including scheduling, logistics, materials, and communication.

Monitor and maintain the initial training program for Swiss and international employees.

Organize and monitor compliance trainings across regions.

Administer e-learning platforms (GO1/eQMS) by overseeing course assignments, tracking, and reporting.

Maintain training records to ensure compliance with internal and regulatory requirements.

Coordinate with internal trainers and external vendors.

Routine HR Administration & Communication Support

Prepare IT Access Management documentation and onboarding materials for new hires. Additionally, send out employee birthday gifts.

Maintain and update evacuation drill lists and track the annual performance review process.

Publish job advertisements and other communications on LinkedIn and support HR publications and updates on SharePoint, such as the organizational chart.

Prepare and distribute HR communications across international teams.

Time & Absence Management

Manage user and badge inquiries, and support HR specialists in the monthly lock process.

Enter routine corrections, such as public holidays, and conduct Mobatime training for new hires.

Reception & Event Organisation

Welcome visitors while ensuring proper registration and badge issuance.

Ensure efficient reception of phone calls to the main line.

Organize Apéros, employee events, and hospitality arrangements for visitors, including hotel bookings.

Ensure the proper handling of HR invoices, purchase orders, and supplier management.

Training of Apprentices (1st Year)

Plan apprentice tasks and supervise their performance and development.

Requirements and Skills

  • Completed commercial apprenticeship or equivalent qualification in HR and training administration.
  • Initial experience in HR, training coordination, or administration is advantageous.
  • Experience in an international or multicultural environment is a plus.
  • Experience in training apprentices.
  • Familiarity with HR systems and e-learning platforms is beneficial.
  • Proficient in MS Office (Excel, Word, PowerPoint).
  • Strong organizational and coordination skills with the ability to manage multiple tasks.
  • High attention to detail and accuracy.
  • Excellent communication and interpersonal skills.
  • Discretion and confidentiality in handling sensitive information.
  • Languages: Fluent in English and German or French; additional languages are a plus.

Important Issues

No home office work is allowed. Present working hours are from 08:00 - 12:00 and 13:00 - 17:00.
