Job Offer: Grants Administration Support
Position Overview
We are looking for a dedicated individual to contribute to our grants administration team. This role involves a variety of responsibilities, including support for daily operations, legal compliance, process improvement, and training. Responsibilities
- 50% Grants Administration:
- Provide day-to-day support and backup to the grants administrator.
- Monitor grant letter and payment processes to ensure timely progression of grants.
- Manage payment corrections and the preparation of urgent payments.
- Handle unusual grant situations, developing and proposing solutions while maintaining adequate documentation.
- Approve grant and operational payments as needed.
- Complete grant and payment reconciliations and generate reports.
- Assist in developing reports to oversee the grant-making process and identify improvement opportunities.
- Make recommendations for the continuous enhancement of Oak’s grant-making and administrative processes.
- Act as backup to the head of grants administration when necessary for consistent delivery of core functions.
- Support other administrative tasks as requested by the head of grants administration or the director of operations.
- 20% Legal and Compliance:
- Support the head of grants administration in monitoring compliance and legal developments in operational countries.
- Provide proactive support in addressing compliance and legal matters related to grant-making and operations.
- Serve as a sounding board to help coordinate, track follow-up actions, and ensure effective resolution of issues.
- 10% Process Development and Grants Management Systems:
- Support the continuous development and improvement of Oak Foundation’s grant-making process.
- Contribute to the development of Oak’s grants management system, identifying opportunities for automation and efficiency.
- Liaise with IT and developers to address business and grants administration needs, testing and providing feedback on functional developments.
- 20% Training and Support:
- Respond proactively to questions and support requests from staff and Trustees.
- Collaborate with the head of grants administration to develop and deliver policy and compliance training for Oak staff.
- Onboard new staff to understand their responsibilities within Oak’s grant-making process.
