Job Purpose

To work closely with other finance team members to ensure that the school accounts are operated accurately.

Key Tasks and Responsibilities

Accounts Payable

  • Process invoices and payments for overseas and Swiss suppliers
  • Liaise directly with appropriate staff regarding orders and invoices
  • Input all bank payments to suppliers and others
  • Reconcile individual accounts with the nominal account
  • Be responsible for the annual closing of the purchase ledger
  • Manage emails in French and English with all suppliers
  • Create new providers in the system

Accounts Receivable

  • Prepare and send invoices to parents/guardians
  • Establish credit notes
  • Bill students' accounts for additional charges
  • Follow up and book payments
  • Answer parents' queries regarding students' accounts
  • Finalize accounts for leavers and prepare deposit refunds
  • Review aged debt report with the Director of Finance monthly
  • Liaise with Admissions about student records as necessary
  • Chase debtors regularly and escalate to the Director of Finance if necessary

Nominal Ledger

  • Maintain nominal ledger update files
  • Handle activities linked to the nominal ledger
  • Carry out audit preparation as required

Other Tasks and Responsibilities

  • Assist and cover for other members of the Finance Team as needed
  • Comply with the School's financial regulations
  • Archive all nominal ledger files as appropriate
  • Undertake additional tasks as reasonably required by the Director of Finance for upcoming projects and the effective operation of the Finance department
  • Understand and implement all school policies and procedures, particularly those relating to safeguarding children and young people
  • Uphold the School’s Guiding Principles and ethos at all times

Qualifications, Experience and Attributes

A. Education, Qualifications and Languages

  • Essential: Bachelor's degree in Finance with strong evidence of continuous professional development; Fluent in English (C1)
  • Desirable: French language skills (B2)

B. Experience and Knowledge

  • Essential: Minimum of 3 years' experience in accounts payable, accounts receivable, and general ledger; Proficient in IT systems, email, and relevant software; Experience with an ERP system; Working with colleagues from diverse backgrounds and in an international environment; Strong problem-solving skills
  • Desirable: Experience in an educational environment; Familiarity with iSAMS/iFinance systems
