Job Title: Finance Officer

Reporting to: Director of Finance

Job Purpose

The Finance Officer will collaborate closely with other members of the Finance team to ensure that the school's accounts are managed with precision and accuracy.

Key Tasks and Responsibilities

Account Payable

  • Process invoices and payments for both overseas and Swiss suppliers.
  • Liaise directly with appropriate staff regarding orders and invoices.
  • Input all bank payments to suppliers and other accounts.
  • Reconcile individual accounts with the nominal account.
  • Oversee the annual closing of the purchase ledger.
  • Manage communications in both French and English with all suppliers.
  • Create new suppliers in the system.

Account Receivables

  • Prepare and send invoices to parents and guardians.
  • Establish credit notes as necessary.
  • Bill students’ accounts for any additional charges.
  • Follow up and record payments.
  • Address queries from parents regarding students’ accounts.
  • Finalize accounts for students leaving and prepare deposit refunds.
  • Review the aged debt report monthly with the Director of Finance.
  • Liaise with Admissions regarding student records when needed.
  • Regularly follow up with debtors and escalate issues to the Director of Finance when necessary.

Nominal Ledger

  • Maintain and update nominal ledger files.
  • Handle additional activities related to the nominal ledger.
  • Assist with audit preparation as required.

Other Tasks and Responsibilities

  • Assist and cover for other members of the Finance Team as needed.
  • Comply with the school's financial regulations.
  • Archive all nominal ledger files appropriately.
  • Undertake any additional tasks reasonably required by the Director of Finance for upcoming projects and the efficient operation of the Finance department.
  • Understand and implement all school policies and procedures, especially those related to safeguarding children and young people.
  • Embrace the School’s Guiding Principles and uphold the ethos of the School at all times.
