Your Mission

As a vital member of the Climeworks team, your role will include the following responsibilities:

  • Efficiently allocate office resources, align workspaces with business needs, and optimize space utilization through professional collaboration with stakeholders.
  • Provide professional front desk service that reflects Climeworks’ values, serving as the first point of contact for visitors and responding to inquiries.
  • Announce visitors to internal employees and handle phone calls in multiple languages, ensuring clear communication.
  • Manage emails and facility maintenance tickets promptly, ensuring efficiency in incoming and outgoing mail, courier services, and parcel distribution.
  • Oversee visitor registration, access control, and parking management, including badge handling and garage exit procedures.
  • Support project documentation and meeting organization, assisting with future project implementations.
  • Assess and plan office space allocation in collaboration with supervisors and department heads, developing and presenting proposals for optimal resource utilization.
  • Coordinate office moves, prepare infrastructure, obtain service quotes, and liaise with facility management (FM) and IT teams.
  • Monitor and report on space utilization and future office needs.
  • Assist the Facility Manager and team in various tasks, stepping in for team members as needed.

Your Story

Requirements

  • Completed an apprenticeship in office administration or a related field.
  • 5-10 years of experience in a facility environment.
  • Proven expertise in managing office fit-out or expansion projects and in space management or facilities coordination.
  • Service and team-oriented mindset, demonstrating flexibility and reliability with strong organizational skills.
  • Excellent communication and presentation skills; proficiency in Office365, particularly PowerPoint, is required.
  • Strong analytical skills for space planning and needs assessment, with a problem-solving mindset and attention to detail.
  • Ability to work collaboratively with diverse teams and stakeholders, showcasing a friendly and trustworthy demeanor.
  • Fluency in both German and English is essential.
  • Availability to start in February 2025.
