Position Summary
This is a dual-mandate position within Takeda's DD&T organization, based in Zurich, Switzerland. Reporting to the Enterprise Process Platforms organization, the successful candidate will serve in two interconnected roles:
- Executive Assistant to the Head of Enterprise Process Platforms – providing dedicated, high-quality administrative support to the leader of the organization, with full accountability for all administrative tasks.
- DD&T Site Lead for Zurich – acting as the local support resource for DD&T Leadership Team members when they visit Zurich, ensuring a consistent, professional, and executive-ready experience.
This role does not involve assuming administrative ownership for other Leadership Team members. The position is based in Zurich.
Key Responsibilities
Executive Assistant to the Head of Enterprise Process Platforms
- Provide high-quality executive administrative support to the Head of Enterprise Process Platforms, demonstrating discretion and professional judgment.
- Manage a complex executive calendar, prioritizing commitments, resolving conflicts, and protecting the leader's time.
- Coordinate meetings end-to-end, preparing agendas and ensuring the leader is fully prepared.
- Facilitate or lead meetings on behalf of the leader, as appropriate.
- Draft, review, and coordinate executive-level communications professionally.
- Maintain strong working relationships across DD&T and the broader enterprise, acting as a trusted point of contact.
- Organize complex domestic and international travel logistics, partnering with central meeting planning teams for larger events.
- Ensure proper submission and completion of leader expenses in coordination with central expense management.
- Prepare, coordinate, and format documents, reports, and presentations to high standards.
- Manage vendor payment documentation and track requests in a timely manner.
- Handle sensitive information with confidentiality and exercise independent judgment as needed.
- Anticipate the leader’s needs and proactively resolve potential issues.
- Engage in continuous improvement efforts and build a strong internal network to support responsibilities.
- Guide and support junior administrative staff to enhance team capabilities.
- Perform other related duties as required.
DD&T Zurich Site Lead (Local Hub Support)
- Serve as the primary local support resource for DD&T Leadership Team visits to Zurich.
- Manage site logistics, including room bookings, catering arrangements, and offsite needs.
- Ensure a high-quality experience for visiting DD&T Leadership Team members through effective site coordination.
Experience & Education
- 8-10 years of experience supporting senior executives in a large global organization.
- Bachelor's degree in Business Administration, Office Administration, Communications, or a related field.
- Must be based in Zurich and provide on-site support.
Skills & Competencies
- Strong executive communication skills; fluency in English is required, German is preferred.
- High discretion when handling confidential information.
- Sound judgment and ability to manage senior stakeholders effectively.
- Excellent relationship-building and stakeholder management skills.
- Proven ability to coordinate across functions and manage competing priorities.
- Proactive, resourceful, and solution-oriented mindset.
- Strong organizational skills, with proficiency in complex travel and meeting planning.
- Advanced Microsoft Office skills (Outlook, Word, Excel, PowerPoint).
- Adaptable and comfortable working across global time zones.
- Meeting facilitation skills and knowledge of Zurich vendors/sites are a plus.
