Exciting Opportunity in Executive Assistance

Are you a proactive and highly organized professional looking for your next challenge in an international business environment? Then this might be the right opportunity for you! In this role, you will join and complement our team of Executive Assistants at our Zurich office. Together with your colleagues, you will ensure the smooth running of daily operations and support the entire team in a wide range of administrative, organizational, and coordination tasks. You will be involved in everything from meeting and event management to internal communications, document handling, and cross-departmental support.

Main Tasks, Duties & Responsibilities

  • Provide administrative and organizational support to the entire team
  • Manage calendars, meetings, and travel arrangements
  • Support the organization of events and conferences
  • Oversee office management, reception, and ordering of supplies and giveaways
  • Maintain internal databases, templates, and marketing materials
  • Support social media activities and internal communication
  • Liaise with service providers and organize contract management
  • Assist with smaller projects and tasks (e.g., KYC documents)

Your Profile

  • Completed commercial apprenticeship or equivalent qualification
  • 5+ years of experience as an Executive or Team Assistant; ideally in the (re-)insurance industry
  • Proven ability to manage a wide range of administrative and coordination tasks
  • Strong organizational and time management skills with attention to detail
  • Excellent communication and interpersonal skills
  • High proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Experience with tools like SharePoint or collaboration platforms is an advantage
  • Fluent in German and English, both written and spoken; additional languages are a plus
  • Positive attitude, flexible mindset, and ability to work independently
