Executive Assistant (m/f/d)

Our long-term client is a renowned pharmaceutical company located in the Fricktal region. To support the existing team, we are looking to hire an Executive Assistant (m/f/d) immediately or by agreement.

Tasks & Responsibilities:

  • Organize and maintain the manager's agenda: Schedule, change, coordinate and prepare all appointments; provide all necessary information to participants.
  • Arrange and assist in setting up departmental meetings and participate in organizing global events.
  • Manage all incoming and outgoing post and email messages, including:
    • Screen, prioritize, and add relevant information to prepare handling by the manager.
    • Distribute and file all relevant documents and information.
    • Secure follow-up and check deadlines.
  • Handle telephone calls and requests.
  • Provide administrative support by:
    • Coordinating the manager's workflow and maintaining efficient office systems.
    • Composing correspondence/reports for own or manager's signature.
    • Preparing and finalizing presentations in PowerPoint.
    • Updating and tracking delegated tasks to ensure progress meets deadlines.
    • Providing backup for other admin personnel.
    • Offering administrative support for the B&C global team.
  • Organize new employee onboarding and training.
  • Create purchase orders and ensure timely payment.
  • Provide facility service and arrange travel and accommodation.
  • Arrange office facilities.

Must Haves:

  • Educational level: Vocational education.
  • Excellent communication skills in written and verbal English and German.
  • Strong interpersonal skills.
  • A "can-do" attitude.
  • At least 5 years' experience as an assistant in a business context.
  • Excellent skills in MS Office (Word, Excel, PowerPoint, and Outlook).
  • Knowledge of SAP (SuccessFactors).
