Job Purpose

This position plays a crucial role in maintaining the integrity, confidentiality, and security of the external examination process.

Key Tasks and Responsibilities

  • Conduct examinations in strict adherence to the regulations and guidelines of Aiglon College and relevant exam boards, including International Baccalaureate (IB), Joint Council for Qualifications (JCQ), and Cambridge International Education (CIE).
  • Ensure all candidates have an equal opportunity to demonstrate their abilities.
  • Safeguard examination materials before, during, and after examinations.
  • Prevent potential candidate malpractice and administrative errors.

Invigilators must:

  • Declare any previous invigilation experience and any current maladministration/malpractice sanctions.
  • Understand and implement school policies and procedures, especially those related to child safeguarding.
  • Confirm availability in advance of major examination periods.
  • Ensure a good level of knowledge of current exam board regulations and guidelines by studying all materials provided by the Exams Officer.
  • Complete relevant online invigilator training before the beginning of each new academic year as directed by the Exams Officer.

Main Duties in Detail

Before Examinations

  • Report to and be briefed by the Exams Officer prior to each exam session.
  • Keep confidential exam question papers and materials secure before, during, and after exams.
  • Ensure exam rooms are set up according to requirements.
  • Admit candidates into exam rooms under formal examination conditions.
  • Provide full attention to conducting examinations properly.
  • Identify and seat candidates according to specified arrangements.
  • Distribute the correct question papers and exam materials to candidates.
  • Instruct candidates on the conduct of their exams and address their questions.
  • Start the exams.

During Examinations

  • Supervise and observe candidates at all times while being vigilant throughout the examinations.
  • Minimize disruption in examination rooms.
  • Effectively deal with emergencies or irregularities.
  • Record and report any incidents, disruptions, or irregularities.
  • Complete attendance registers and manage candidate questions according to regulations.

After Examinations

  • Instruct candidates to finish their exams and collect examination scripts and materials.
  • Dismiss candidates from the examination room.
  • Verify that candidates’ names on scripts match the details on the attendance register.
  • Securely return all examination scripts and materials to the Exams Officer.

Other Tasks and Responsibilities

As required, perform additional duties assigned by the Exams Officer, including:

  • Supervising candidates with exam timetable clashes between sessions.
  • Providing support to candidates with access arrangements, including reading, scribing, etc. (full training will be provided).
  • Assisting with other exam-related administrative tasks to maintain question paper security.
  • Undertake any other task reasonably required by the Studies Department.

Understand and implement all school policies and procedures, particularly those relating to safeguarding children and young people. Uphold the School’s Guiding Principles and ethos at all times.

Experience and Knowledge

  • Desirable: Direct experience of invigilation is preferable but not required, as training in the role and the duties of an invigilator will be provided.

  • Ability to work well as part of a team.
  • Recognize the importance of a strong safeguarding culture and role within it.
  • Confident and reassuring presence for candidates in examination rooms.

  • Proficient in IT (capable of using email, mobile phone messaging, and willing to be trained in specific software).
  • Aim to achieve competence in the role and a thorough understanding of exam board regulations.
  • Reliable, flexible, and readily available during main examination periods.
  • Available to invigilate for full mornings (approximately 08:15-13:00), whole afternoons (approximately 12:30-17:30), or preferably for full days.
