Job Title: Community Services Officer

Responsible to:

Director of Philanthropy & Community Engagement

Job Purpose

The Community Services Officer is a vital member of the Philanthropy & Community Engagement (PCE) team at Aiglon. This role focuses on managing the school's reception area and providing administrative support to the PCE Office. The PCE team strives to reach, serve, and engage students, alumni, parents, and friends, fostering lifelong, mutually beneficial relationships that lead to increased volunteer engagement, goodwill, and philanthropic support.

Main Responsibilities

  • 1. Front Office Support

    The Administrative Officer serves as the primary point of contact for the school and the PCE Office. Responsibilities include:

    • Providing exceptional service via email, phone, and in-person communication.
    • Managing incoming and outgoing mail and package deliveries.
    • Greeting and directing visitors at the front desk.
    • Conducting campus tours for visiting alumni and facilitating meetings with parents, faculty, and staff.
    • Offering operational support for various school systems.
  • 2. Administrative Tasks

    The Administrative Officer is responsible for high-quality coordination of various administrative functions, including:

    • Collaborating with the finance office to manage postal and customs charges.
    • Updating school databases and preparing school-wide mailings.
    • Performing additional administrative tasks as required.
  • 3. Operational Responsibilities

    This role includes managing essential aspects of the school’s operations, such as:

    • Overseeing the minibus reservation system and ski pass forecasting.
    • Handling ordering and distribution for students and selected staff.
    • Processing confidential exam papers.

Additional Responsibilities

  • Contributing to special projects as directed by the Director of Philanthropy & Community Engagement.
  • Undertaking additional duties as aligned with the key responsibilities outlined above.
  • Committing to ongoing professional development.
  • Engaging in school life and activities to uphold the ethos and values of Aiglon.
  • Maintaining confidentiality in all school-related matters.

Person Specification

Interested candidates should possess the following qualifications, experiences, and attributes:

A. Education, Qualifications, and Languages

  • Essential:
    • Fluency in English.
    • Hospitality School Student or a minimum of 3 years' experience in a similar role.
  • Desirable:
    • Proficiency in another language.

B. Experience and Knowledge

  • Essential:
    • Fluent verbal and proficient written English skills.
    • Working knowledge of French.
    • Proficiency in Google Suite and solid computer skills with the ability to master new technologies.
  • Desirable:
    • Hospitality training.

C. Personal Qualities, Attitudes, and Behaviors

  • Essential:
    • Strong interpersonal skills, including excellent phone etiquette and personal presentation.
    • Ability to build professional relationships with students while adhering to Aiglon's safeguarding policies.
    • Willingness to learn school databases as needed.

    • Client-friendly demeanor with the capacity to handle sensitive information discreetly.
