Job Purpose

The primary responsibility of this role is to manage the School’s reception area and provide comprehensive administrative support to the Office of Philanthropy & Community Engagement. As a vital member of the Philanthropy & Community Engagement (PCE) team, the Community Services Officer aims to connect and engage Aiglon students, alumni, parents, and friends, fostering lifelong, mutually beneficial relationships that encourage volunteer engagement, goodwill, and philanthropic support.

Key Responsibilities

The duties of the Administrative Officer are wide-ranging, falling into three main areas:

1. Front Office Support

The Administrative Officer serves as the central point of contact for both the School and the PCE Office, delivering exceptional service through email, phone, and in-person interactions. Responsibilities include:

  • Managing the school’s incoming and outgoing post and package deliveries.
  • Greeting and welcoming visitors at the front desk, directing and announcing them appropriately.
  • Providing tours of the campus for visiting alumni and facilitating meetings with parents, faculty, and staff.
  • Offering operational support for various school systems.

2. Administrative Tasks

This role also entails high-quality coordination of various administrative tasks, including:

  • Coordinating with the finance office to ensure postal and customs charges are billed correctly.
  • Forwarding mail and updating school databases.
  • Preparing school-wide mailings and handling various other administrative tasks.

3. Operational Management

The Administrative Officer will manage several functional aspects of the school’s operational needs, such as:

  • Overseeing the minibus reservation system and ski pass forecasting.
  • Ordering and distributing supplies for students and select staff.
  • Processing confidential exam papers.

Other Responsibilities

  • Contributing to special projects as directed by the Director of Philanthropy & Community Engagement.
  • Undertaking additional duties in line with the key responsibilities outlined above.
  • Committing to ongoing professional development.
  • Actively participating in school life and activities.
  • Upholding the ethos and values of Aiglon, acting with integrity and maintaining confidentiality in all school-related matters.

Person Specification

The qualifications, experience, and attributes of the post holder must align with the following specifications:

A. Education, Qualifications, and Languages

  • Essential: English; Hospitality School Student or at least 3 years of experience in a similar role.
  • Desirable: Proficiency in another language.

B. Experience and Knowledge

  • Essential: Fluent in English (verbal and written), working knowledge of French, Google Suite, and solid computer skills with the ability to learn new technologies quickly.
  • Desirable: Hospitality training.

C. Personal Qualities, Attitudes, and Behaviours

  • Essential: Strong interpersonal skills, excellent phone manner, and professional presentation.
  • Ability to build professional relationships with students while adhering to Aiglon’s safeguarding policies.
  • Willingness to become familiar with school databases as needed.
  • Capacity to work under pressure while following established policies and procedures.
  • Exhibit discretion and a client-friendly attitude when handling sensitive information.
  • Able to interact effectively and courteously with individuals from diverse backgrounds and cultures.
  • Flexibility to meet job requirements as they arise.
  • Ability to identify individual strengths and weaknesses within team members and develop skills accordingly.
  • Desirable: Evidence of commitment to personal learning.
