We are currently seeking an HR Assistant to join one of our clients.

Your Future Responsibilities

  • Ensure the receipt, verification, and administrative follow-up of temporary staff contracts.
  • Coordinate the onboarding and departure of temporary employees by creating, updating, and maintaining their files.
  • Conduct regular checks on the missions of temporary employees and communicate relevant information to the concerned managers.
  • Collect, check, validate, and forward time sheets to the staffing agencies within the deadlines.
  • Review and validate invoices issued by temp agencies prior to processing.
  • Manage correction requests and follow up on communications with partner agencies.
  • Update dashboards, databases, and various administrative tracking files.
  • Provide administrative support to the Payroll team in daily payroll-related activities.
  • Participate in optimizing administrative processes by proposing improvements when necessary.
  • Ensure compliance with internal procedures and conformity of operations related to the management of temporary employees.

Your Profile

You possess a vocational certificate (CFC) in business administration or an equivalent recognized qualification. Your experience in an administrative environment, particularly in human resources or temporary staff management, is confirmed. You are proficient in Microsoft 365, especially Excel, with knowledge of M-Files considered an asset.

Fluency in French is required, along with the ability to write documents clearly, precisely, and professionally. You demonstrate excellent organizational skills, prioritize your work effectively, and manage multiple files simultaneously. Working independently comes easily to you, while you also collaborate effectively with both internal and external contacts.

Your strong analytical skills help you find tailored solutions to various challenges. You are recognized for your discretion, sense of responsibility, and reliability, communicating professionally while maintaining constructive relationships with agencies and internal teams. Flexibility is one of your strengths, allowing you to remain effective in a fast-paced environment.
