Job Title: Admissions Officer

The Admissions Team plays a vital role within the school, ensuring that prospective families enjoy a seamless and exceptional admissions process from their initial inquiry to their eventual enrollment. Admissions Officers are integral to the efficient functioning of the Admissions Team, providing essential administrative support while collaborating closely with both support and teaching staff across the institution. This role requires a strong commitment to teamwork and outstanding customer service, ensuring that the needs and priorities of prospective pupils and their families remain central to all decisions. Admissions Officers are expected to exemplify the school’s Guiding Principles and consistently uphold its ethos and values in every aspect of their work.

Key Tasks and Responsibilities

  • Be present during office hours to take calls, respond to emails, and welcome visitors.
  • Regularly follow up with prospective families to provide updates, address queries, and maintain strong relationships.
  • Assist with on-campus events such as family visits and the new student arrival program.
  • Conduct tours of the campus for prospective families and other guests when necessary.
  • Stay informed about developments, events, and initiatives related to the School and Summer School to ensure effective communication with prospective families.
  • Assist with the setup and supervision of entrance tests.
  • Maintain cleanliness and organization of the Admissions Lounge and Offices at all times.
  • Support the Student Ambassador program.
  • Manage the Admissions department’s calendar and coordinate appointments and meetings with appropriate staff and visitors.
  • Ensure accurate parent and student data on our systems, making regular updates as changes arise.
  • Organize and prepare files for new pupils, ensure collection of any missing documents, and draft related correspondence.
  • Assist with correspondence and department reports.
  • Support scholarship and financial assistance agreements and related communication.
  • Maintain and organize the office's electronic filing system.
  • Monitor and maintain mailing lists for prospective students and parents according to marketing and recruitment plans.
  • Collaborate on the creation of school marketing materials and proofread content.
  • Prepare mailings of promotional material for educational and recruitment events.
  • Centralize office supply orders and maintain an inventory of all publications.
  • Gather feedback from prospective family events to enhance future admissions initiatives.
  • Represent the admissions department in meetings with other teams as required.
  • Take proactive steps to improve the admissions experience for prospective families.
  • Make travel and accommodation arrangements as needed.
  • Engage actively in school life to foster community relationships.

Other Tasks and Responsibilities

  • Understand and implement all school policies and procedures, particularly those relating to safeguarding children and young people.
  • Undertake any additional tasks as reasonably requested by the Director of Admissions to facilitate the smooth running of the team.
  • Exemplify the School’s Guiding Principles and uphold its ethos at all times.
