Admissions Officer Role Overview
The Admissions Team plays a vital role within the school, ensuring prospective families experience a seamless and exceptional admissions process from their initial inquiry through to enrollment. Admissions Officers are integral to the smooth functioning of the team, providing essential administrative support and collaborating with both support and teaching staff across the school.
This role demands a strong commitment to teamwork and outstanding customer service, ensuring that the needs and priorities of prospective pupils and their families remain central to all decisions. Admissions Officers are expected to exemplify the school’s Guiding Principles and consistently uphold its ethos and values in every aspect of their work.
Key Tasks and Responsibilities
- Be present during office hours to take calls, reply to emails, and welcome visitors.
- Regularly follow up with prospective families to provide updates, answer queries, and maintain strong relationships.
- Assist with on-campus events such as prospective family visits and the new student arrival program.
- Conduct tours of the campus for prospective families and other guests when necessary.
- Remain informed about developments, events, and initiatives related to the School and Summer School, ensuring effective communication.
- Assist with setting up and supervising entrance tests.
- Ensure the Admissions Lounge and Offices are clean and tidy at all times.
- Support the Student Ambassador program.
- Manage the Admissions department’s calendar, liaising with appropriate staff and visitors for appointments and meetings.
- Ensure accurate parent and student data on our systems, updating information as necessary.
- Organize and prepare files for new pupils, ensuring the collection of any missing documents and drafting correspondence related to new pupil enrollments.
- Assist with correspondence and department reports.
- Support scholarship and financial assistance agreements and related correspondence.
- Maintain and organize the office's electronic filing system.
- Monitor and maintain mailing lists for prospective students and parents according to marketing and recruitment plans.
- Contribute ideas, proofread, and collaborate on the creation of school marketing materials.
- Prepare mailings of promotional material for educational and recruitment events.
- Centralize office supply orders and maintain an inventory of all publications.
- Gather feedback from prospective family events to enhance future admissions initiatives.
- Represent the admissions department in meetings with other teams when necessary.
- Be proactive and take initiatives to improve the admissions experience for prospective families.
- Arrange travel and accommodation as required.
- Be an active participant in school life.
Other Tasks and Responsibilities
- Understand and implement all school policies and procedures, especially those relating to safeguarding children and young people.
- Undertake any other tasks reasonably requested by the Director of Admissions to support the smooth operation of the team.
- Uphold the School’s Guiding Principles and embody the ethos of the School at all times.
