Summary
As an Administrative Expert, you will independently manage and deliver essential administrative services, ensuring seamless support for the medical leadership team while contributing to efficient operations. You will serve as the subject matter expert on overarching topics related to processes or tools throughout the organization, providing invaluable support and guidance on relevant business processes and inquiries.
This role is part of the Medical Affairs team and reports directly to the Head of Medical Affairs & CSO in Rotkreuz.
About the Role
Major Accountabilities
- General administrative support: Manage general administrative tasks and maintain processes in the absence of team members.
- Interaction: Inform, advise, and support team members and associates from outside the department regarding specific processes, guidelines, and services.
- Work processes: Support the optimization of current processes and the introduction of new or modified processes.
- Project management: Handle administrative project tasks with clearly defined content and time limitations.
- Collaboration: Act as a team member for administrative projects and manage the administrative aspects of special tasks.
- Supervision: Ensure a smooth onboarding process for new employees in your area of responsibility.
- Training: Supervise colleagues in the administrative area, including apprentices and new employees, and coordinate administrative procedures to streamline processes.
- Reporting: Manage the reporting of technical complaints, adverse events, and special case scenarios related to Novartis products within 24 hours of receipt.
- Deputizing: Step in for critical business processes during absences or holidays as defined by the admin community.
- Expert support: Provide support and guidance on relevant business processes and questions across the entire organization as a subject matter expert.
What You'll Bring to the Role
- Bachelor's Degree in a relevant discipline.
- Full professional proficiency in English; proficiency in German, Italian, or French is a plus.
- 3+ years of experience as a project coordinator or in an administrative support role within a large organization.
- Experience in cross-functional collaboration.
- Advanced proficiency in Microsoft Office applications (e.g., MS Word, MS PowerPoint, MS Excel, MS Outlook).
- A commitment to driving continuous improvement of administrative processes and procedures.
- A proactive approach to supporting colleagues within the admin community, fostering knowledge transfer to enhance collective expertise and operational efficiency.
