Your Mission

  • Manage business travel arrangements (flights, accommodation, visas, invitation letters) and maintain the corporate travel platform (Perk)
  • Handle travel expenses management for Board Members, including verification and reimbursement follow-up
  • Support the organization of internal and external events (logistics, transportation, accommodation, meals, etc.)
  • Oversee the full administrative coordination of apprentices, including rotation planning and internal follow-up in collaboration with HR
  • Provide administrative and organizational support to the Executive Assistant of the Managing Directors (meetings, correspondence, document preparation, translations)
  • Contribute to internal communication activities (All Staff / All Managers communications, internal platforms, etc.)
  • Ensure continuity of executive support in the absence of the Executive Assistant
  • Assist with reception tasks, including procedures updates, and cover reception desk and phone duties when needed.
  • Assist Facilities & Security with administrative tasks

Your Profile

  • CFC commercial certificate or equivalent qualification
  • Minimum 2 years of experience in a similar administrative role, ideally in an international environment
  • Excellent command of MS Office (Word, Excel, PowerPoint, Outlook)
  • Fluent in French and English (written and spoken)
  • Experience as a company trainer for commercial apprentices is an advantage
  • Excellent organizational skills – You manage multiple priorities with precision and reliability
  • Strong communication skills – You interact effectively with internal and external stakeholders
  • Service-oriented mindset – You are committed to delivering high-quality support
  • Proactive and flexible – You anticipate needs and adapt quickly to changing situations
  • Analytical and detail-oriented – You work rigorously and ensure accuracy
