Administrative & Community Coordinator

40–50 % | With Flair for Organisation, Administration, and Community Coordination

Would you like to play a key role in creating a smooth and supportive experience for patients, colleagues, medical and insurance providers, as well as our community by keeping processes organised, information flowing, and administrative tasks on track?

Your Responsibilities:

  • Patient Administration Support: Handling enquiries, maintaining waiting lists, sending and following up, and coordinating administrative processes.
  • Insurance Administration: Processing defined procedures and checklists, coordinating documentation, and following up on outstanding items.
  • Administrative Coordination with Colleagues: Supporting matters related to office rental, employment contracts, and document reviews, as well as organising workshop and training registrations.
  • Website Maintenance: Updating resource links and simple website content, managing event registration.
  • Newsletter & Community Communication: Preparing content, gathering information, and coordinating distribution.
  • General Organisation: Prioritising and following up on outstanding tasks, documenting procedures, and helping to improve simple processes.

Your Profile:

  • Experience in administration, practice management, office management, coordination, or a comparable role.
  • Strong organizational and time management skills, with structured and meticulous attention to detail in administrative work.
  • Independent working style, able to maintain an overview even when handling multiple topics simultaneously.
  • Demonstrates friendly, clear, and professional communication skills for interacting with clients, team members, and community partners.
  • Ability to work collaboratively in a multidisciplinary environment and maintain confidentiality.
  • Discretion and a strong sense of responsibility when handling confidential information.
  • Confident use of digital tools for scheduling, record-keeping, and communication; experience with Microsoft 365, Proton, as well as CMS and newsletter tools is an advantage.
  • Excellent English and good German language skills; French is a plus.
  • Prior experience in a therapeutic, health care, community services, or non-profit setting is beneficial.
