Administration and HR Assistant 80-100% (m/f/d)
Our client is a privately-owned biotech firm, established in 2012 and located in Basel, Switzerland. In December 2020, it was acquired by a privately-held pharmaceutical company based in Germany. The company is committed to developing best-in-class oncology treatments aimed at enhancing the survival and quality of life for cancer patients around the globe. To support a young and dynamic team, we are looking for an individual who can start immediately.
Your Tasks and Requirements:
Administration
- Organizing and Scheduling Appointments: Managing calendars, setting up and organizing meetings (including preparing meeting rooms and catering, as well as welcoming guests) and coordinating appointments for team members or executives.
- Handling Office Communications: Managing company phone lines, intercom, and information mailboxes (answering phone calls, responding to emails, directing inquiries to the appropriate personnel), and scanning invoices to forward them to the right accounting personnel.
- Data Entry and Reporting: Entering data into various systems, generating reports, and maintaining accurate records (e.g., time tracking including absences and vacation, routine deliveries, travel reimbursements, facility security system, badge access system, etc.).
- Office Supply Management: Ordering, stocking, and keeping an overview of office and cafeteria supplies.
- Event Coordination: Supporting the planning and organization of company events, meetings, and conferences, including arranging logistics, sending invitations, and coordinating with vendors.
- Travel Arrangements: Organizing travel arrangements (e.g., accommodation, transportation, etc.) and setting up internal/external meetings for stakeholders.
- General Office Support: Creating, maintaining, and updating files and records, both physical and electronic. Providing support to other team members, such as scanning, photocopying, and filing documents as needed.
Human Resources
Knowledge and/or experience of HR processes is required. Duties include:
- Hiring Processes: Assisting with recruitment, onboarding, and training processes.
- Maintenance of Employee Records: Updating contracts, work permits, and information from various insurances (e.g., Ausgleichkasse, Accident insurance, Pension Fund, etc.).
- Reports: Preparing internal and external statistics (e.g., FTEs, vacation, absences, accidents, etc.).
