Academic & Operations Coordinator
The Academic & Operations Coordinator serves as a vital liaison between academic stakeholders, including faculty, operational teams, and internship and project partners. This role is crucial for ensuring seamless coordination, effective communication, and the efficient execution of academic programs and related operations. Fluency in Arabic and English is essential for supporting Arabic-speaking partners and initiatives, while proficiency in French is a valuable asset.
Key Responsibilities
Academic Coordination
- Act as the primary point of contact between academic staff, operations, the internship department, and project partners (including Sommet and KSA clients, such as Boutique).
- Support the planning, coordination, and delivery of academic logistics, including tracking candidates' progression.
- Coordinate academic calendars, schedules, materials, and necessary documentation.
- Assist operations and academic partners with administrative and operational requirements.
- Liaise effectively with Arabic-speaking clients and students.
Operational Coordination
- Oversee operational processes related to academic activities, including logistics, onboarding, documentation, and reporting.
- Collaborate with project and program teams to ensure the smooth execution of academic initiatives.
- Track operational milestones, deliverables, and timelines, with active support from the internship department.
- Maintain accurate records, databases, and reports pertinent to academic and behavioral operations.
- Identify opportunities for process improvements to enhance efficiency and quality of delivery.
Communication & Stakeholder Management
- Facilitate clear and effective communication between academic and operations teams, as well as with third-party stakeholders.
- Translate or support communication in both Arabic and English as needed (written and verbal).
- Prepare and circulate briefings, reports, presentations, and meeting summaries.
- Support relationship management with all involved stakeholders.
Quality & Compliance
- Ensure compliance with internal policies, academic standards, and applicable Swiss regulatory requirements.
- Support quality assurance processes and continuous improvement initiatives.
- Assist with audits, evaluations, or accreditation-related activities as required.
Required Qualifications & Skills
- Fluency in Arabic and English (spoken and written); proficiency in French is welcomed.
- Experience in a coordination, program management, or operations role.
- Exposure to academic, educational, or internship placement environments.
- Strong organizational and multitasking capabilities.
- Exceptional communication and stakeholder management skills.
- Ability to work across cultures and navigate complex organizational environments.
- Proficient problem-solving abilities with efficiency and diplomacy.
